Data Privacy Statement

Eurac Research - Research Center in Bolzano organizes in collaboration with the Free University of Bolzano, NOI Techpark South Tyrol and the Foundation Südtiroler Sparkasse the "SCIENCE SLAM" in Bolzano.

With this privacy statement we would like to inform you in compliance with EU Regulation No. 2016/679 (GDPR) and the national legislation about the protection of personal data collected in the course of participation in the Science Slam. Participation is completely voluntary.

The processing of personal data by researchers is based on principles of integrity, legality, transparency, and confidentiality.

  1. Purpose and Legal Basis for the Data Processing

Any and all personal data that is in the possession of the Controller, or that may be requested by the Controller, is necessary for the following purposes:

  1. a) Processing of the registrations for the "Science Slam";
  2. b) Selection of candidates;
  3. c) Organization of the coaching sessions;
  4. d) Handling of the events (coaching, slam evenings and possibly others), including all pre- and post-event activities;
  5. e) Transmission of organizational messages and information related to the "Science Slam";
  6. f) Documentation of the events (coaching, slam evenings and possibly others) for institutional, archival and communication purposes (photo, audio, video), for the creation of information materials, for communication activities, for publications, using any forms and media, such as websites and social networks.

During the events, photo, audio and video recordings are made. If the data subject prefers not to be recorded or photographed, he/she must inform the organizers staff in advance. To avoid being filmed or photographed at virtual events, you can disable the webcam and/or mute the microphone at any time. The recordings of the slam evenings will be published.

 

The legal basis for the processing of your personal data for the purposes indicated above is ad a) – e) the performance of the contract to which the data subject is party (participation in the “Science Slam”) or in order to take steps at the request of the data subject prior to entering into a contract and ad f) the consent of the data subject.

 

  1. Recipients of the Data Processed and transfer of data

The data may be processed by authorized staff of the organizers; the data may be disseminated in connection with the event.

Personal data may be communicated also to other external service providers (e.g. trainer for coaching sessions), which typically process Personal Data on behalf of the organizers as data processors. 

For virtual events the data controller uses Zoom (for further information: https://zoom.us/privacy) or Microsoft Teams (for further information: https://support.office.com/en-us/article/teams-free-support-and-privacy-statement-9116c829-c8fa-4822-96a3-1e89b2911ba5).

For questionnaires Survey Monkey will be used (for further information: https://www.surveymonkey.com/mp/legal/privacy/)

Your data is stored within the European Union and the data controller does not intend to transfer Your data to third countries or international organisations. Some personal data could be transmitted to third countries outside of the EU but only if the transmission of personal data is connected to the performance of the institutional activities of the data controller. Where data is transferred to a third country, this will be done on the basis of the European Commission's standard contractual clauses (SCC) with supplementary measures and in according with the legal requirements.

 

  1. Information on the Retention Period of Personal Data

Personal data will be stored for the time necessary to carry out the purposes for which it was collected and/or the time required to comply with the Applicable Law (Artt.2946 -2947 c.c.). When this period has been reached, the data shall be deleted or made anonymous. The photo/audio/video recordings will be kept in order to have a historical memory of the events and institutional activities and, if necessary, used for publications.

 

  1. Mandatory or Voluntary Communication of Data and Possible Consequences of a Failure to Provide it

The provision of personal data is voluntary, but refusal could interfere with the correct performance of the above-mentioned purposes.

 

  1. The Data Subject’s Rights

At any time the data subject has the right to request access to their personal data, and to correct or delete that data, or to limit its processing. In addition, the data subject has the right to data portability, as well as the right to lodge a complaint with a supervisory authority. When the data processing is based on consent, the data subject has the right to withdraw that consent at any time. The data subject may also exercise all other rights pursuant to current data protection regulations (art. 15 et seq. GDPR) by writing to the e-mail address: privacy@eurac.edu.
